Integrating Projectworks with QuickBooks Online is easy and accessible—you can see the integration in the QuickBooks App Store. The integration focuses on invoicing and expenses.
Users can create invoices based on timesheets and fixed fee schedules and then export them to QuickBooks for recording. Subsequently, you can update the status of invoices in either QuickBooks or Projectworks because changes will sync between systems automatically. Expenses approved in Projectworks will also be recorded automatically on QuickBooks as bills and matched to the vendor or payee, reducing the workload of bookkeepers—they don’t have to match expenses manually to their respective vendors.
The resource planning screen shows you all projects and the amount of time allocated for specific projects. The image below shows a sample project with 20 hours allotted. If you click a project, you will be redirected to the projects window where you can see the details.

The project details screen shows you the users assigned to the project, the expected time needed per week, and the total budget on the upper left part of the screen. You can navigate between tabs to check project forecasts, time entries, expenses, metrics, settings, time codes, risks, details, and schedules.
The timesheets window displays the time entries of employees. Time entries can be created within the project screen—and it will show a summary list in the timesheets window. The image below shows a partial screen of all timesheets.
Another useful feature not usually present in some project management software is expense tracking. We like that Projectworks included this because it helps project managers and team members process and submit project-related expenses without getting a separate expense tracker. The image below shows the form for submitting expenses.
In our expert opinion, the expense form of Projectworks isn’t detailed in terms of the information asked. It doesn’t ask for information like vendor name, vendor address, and expense amount. If you think Projectworks’ expense form is lacking, we recommend getting a dedicated expense tracker instead.
